Storage Terms & Conditions

1. Storage Overview

Legacy Letters provides secure, long-term storage for letters, cards, and other approved items entrusted to us for future delivery. By purchasing storage with us, you agree to the following terms and conditions.

2. Packaging & Preservation

All letters are packaged using our protective preservation materials, designed to prevent deterioration, moisture damage, and fading. Each item is sealed and stored in a fire-resistant and temperature-controlled environment to help safeguard against environmental risks.

3. Logging & Identification

Each envelope is individually logged, sealed, and assigned a unique tracking code. This ensures that items can be located quickly and securely when it’s time for delivery.

4. Authorised Access

Only authorised Legacy Letters personnel may access the storage area. Access is strictly controlled, and all handling follows our secure process to maintain confidentiality and integrity.

5. Ownership & Responsibility

The sender remains the legal owner of all stored items until delivery. Legacy Letters acts solely as a custodian and will not open or alter letters unless instructed or required by law.

6. Storage Duration

  • Annual Storage: Renewed each year unless cancelled in writing by the sender.

  • Lifetime Storage: Covers permanent storage for the lifetime of the company.
    If fees remain unpaid or contact information is not updated, items may be placed on hold until we can verify sender or guardian details.

7. Guardian & Contact Information

Senders are responsible for keeping recipient and guardian details up to date through the Guardian Portal. If Legacy Letters is unable to make contact after multiple attempts and the storage period has expired, items will be safely destroyed or returned (where possible) in accordance with our storage policy. We are unable to retain letters or items beyond the agreed storage term without renewed authorisation or payment.

8. Content Restrictions

Customers must only include the number of paper sheets or cards purchased for their chosen storage package. No additional items, gifts, or unapproved materials may be placed inside the envelopes. Legacy Letters reserves the right to remove or reject items that exceed weight limits or pose preservation or safety concerns.

9. Loss or Damage

While every precaution is taken to protect your letters, Legacy Letters cannot be held responsible for damage or loss caused by events beyond our control (e.g., natural disasters, fire, flood, or theft beyond reasonable prevention).

10. Prohibited Contents

Each envelope may only contain the single item or letter set purchased. Additional letters, notes, or enclosures are not permitted unless extra storage or paper has been purchased in advance. Items that exceed this limit, or that pose preservation or safety risks, will not be accepted and may be returned to the sender.

11. Termination of Service

Legacy Letters reserves the right to refuse, cancel, or terminate storage if terms are breached or fees are unpaid. In such cases, reasonable efforts will be made to return the sender’s materials.

12. Amendments

These terms may be updated periodically to reflect improvements in our service or legal requirements. The latest version will always be available on our website.
